Room Rentals             

NOTE:  All rooms now have wireless internet access.

Olbrich has three rooms inside the botanical center that are available for rental Tuesday through Saturday. These rooms are of varying size and all have beautiful views of the Gardens. The rooms can accommodate groups of 10 to 225 people, depending on table and chair configurations.

Room rental fees are determined by the room, length of time of the function, and whether the event is in the day or evening.

Food service is available through local caterers that are contracted to provide food service at Olbrich. You contract directly with the caterer of your choice from our approved caterer list. Bar service is available upon request.  Due to Public Health Food & safety regulations, we do not allow potluck or carry-in of food.

Olbrich provides staff that set up all the tables and chairs to support your function. A full range of meeting equipment is available upon request.

For room rental rates, please select from the following:

Private Room Rental Rates
Private room rental rates apply to private parties, wedding receptions, and groups engaged in activities in which funds are raised, admission is charged, donations are solicited, tickets are sold or products are sold prior to or during the activity.

 

Non-Profit Room Rental Rates
Non-profit room rental rates apply to meetings held by non-profit community organizations that are conducting official business (does not apply to retirement parties, etc...) which are not charging a fee, soliciting donations, selling tickets or asking an admission charge. Tax exempt number is required.  Starting 2011, non-profits will receive a 15% discount from the private rental rate (instead of separate rate structures).

NOTE:  All rentals subject to 5.5% State/County sales tax according to Dept of Revenue tax guidelines.  Wisconsin Department of Revenue Certificate of Exempt Status must be provided if claiming tax exempt status.

Rental Spaces

Atrium
The Atrium features glass walls and a vaulted glass ceiling framed by oak beams. Potted plants draw the outdoor gardens into your event.

Upstairs Meeting Room
The carpeted Upstairs Meeting Room features windowed walls and beautiful views of the Gardens. All windows are fitted with room-darkening mini-blinds. The Upstairs Meeting Room is accessible by stairs or elevator.

Evjue Commons
The Evjue Commons features a vaulted ceiling and a full glass wall providing beautiful views of the gardens. Windows are fitted with room-darkening mini-blinds. Doors in the Evjue Commons lead directly to a terrace with garden furniture and the gardens beyond, although the outdoor space is not part of your rental.

Rules Regarding Use of Olbrich's Name

Olbrich Botanical Gardens is proud to serve as the site for a wide variety of private and non-profit events. Rental of the Olbrich Botanical Center facility is not intended to imply endorsement or sponsorship by the Gardens for any event or organization. In order to identify Olbrich's own events and activities clearly for the general public, we ask that you adhere to the following guidelines related to the promotion of your Olbrich-based event.

Promotional material should reflect your own organization and the nature of your particular event, with Olbrich Botanical Gardens identified as only the site and location.

1. Image and Language
Do not use the logo or images (photographic or drawn) of Olbrich Gardens, Olbrich Botanical Center or the Bolz Conservatory in any material for your event. Do not use language that implies endorsement or sponsorship of your event by Olbrich Botanical Gardens or the Olbrich Botanical Society. For example, you may state that your event "is being held at Olbrich Botanical Gardens," but DO NOT state that your event is "an Olbrich Gardens event."

2. Event Title
Do not include the name of Olbrich or the Bolz Conservatory in the title of your event as this implies endorsement or sponsorship by the site facility. For example, do not name your event "An Evening at Olbrich." The title of your event should help your members, the public, and the media to identify and to raise awareness of your organization, for example, "Merit Center Annual Meeting."

Please indicate clearly a contact person at your own organization that can provide additional information to the public about your event.

Your adherence to these guidelines is required.

Room Set-up Sheets

Please fill out the set-up sheet for the room you have rented and return it to the Rental Coordinator no later than 7 days before your event. A set-up sheet was mailed with the contract. Additional set-up sheets can be printed from the links below, if needed.

Atrium Setup Sheet arrow (PDF)
The Atrium is on the lower level of the original building. This open and airy room features glass walls and a vaulted glass ceiling framed by oak beams. Potted plants draw the outdoor gardens into your event.

The Atrium can accommodate:
Workshop setup: 40 guests (rounds tables with 5 - 6 chairs each)
Dining setup: 64 guests
Theater setup: 120 guests

Upstairs Meeting Room Setup Sheet arrow (PDF)
The carpeted Upstairs Meeting Room is on the upper level of the original building. It features long windowed walls and beautiful views of the Gardens. All windows are fitted with room-darkening mini-blinds. The Upstairs Meeting Room is accessible by stairs or elevator.

The Upstairs Meeting Room can accommodate:
Conference setup: 25 guests
Dining setup: 35 guests
Theater setup: 65 guests

The Evjue Commons is a large meeting room featuring a vaulted ceiling and a full glass wall providing beautiful views of the gardens. Windows are fitted with room-darkening mini-blinds. Doors in the Evjue Commons lead directly to a terrace with garden furniture and the gardens beyond, although the outdoor space is not part of your rental.

The Evjue Commons can accommodate:
Workshop setup: 100 guests  (round tables with 5 - 6 chairs each)
Dining setup: 150 guests
Theater setup: 225 guests
